This explains how QFreight handles your information when you request a quote, create an account or arrange a shipment.

Who is responsible?

QFreight B.V. is responsible for personal data processed through this website and customer portal and when handling logistics enquiries. Our address is Belle van Zuylenstraat 10, 3141 XW Maassluis, the Netherlands. Chamber of Commerce: 42175245. Contact Jonathan Quik using the details below.

What information do we use and why?

For enquiries and quotes, we process your name, company name, business contact details and shipment information. This enables us to answer your request and prepare a possible contract. For business contacts, we also rely on our legitimate interest in communicating with customers and business partners.

For accounts and transport orders, we also process sign-in and account details, company preferences, bookings, collection and delivery addresses, relevant contacts, cargo information, documents, correspondence and invoice details. We use this information to perform the contract, manage access and meet statutory accounting and customs obligations. Only provide personal data necessary for your request or shipment.

Technical information, such as IP addresses, request data and errors, may be processed for security, abuse prevention and troubleshooting. This serves our legitimate interest in a secure and reliable service.

Essential portal records

For access security and to identify who submitted a request or document, we record successful sign-ins, submitted quote and booking requests, document uploads and new document versions. We retain the account, company, time, action type and, where needed, a reference to the record. This registration does not copy document contents, form contents, calculated routes or browsing history.

These limited records serve our legitimate interests in security, reliable request handling and resolving questions about submitted orders. They do not depend on permission for usage measurement and use no additional tracking cookie or analytics session. Only authorised administrators can view this overview. We do not use these essential records for marketing profiles or individual behavioural analysis. You can object using the contact address below; we will assess your circumstances.

Optional usage measurement and email updates

Only when you allow usage measurement do we measure viewed portal pages, Quick Quote calculations and their routes, clicks, opened shipments and estimated active usage time. These measurements are linked to your account and company and are not anonymous. We use them to improve the service. You can refuse or withdraw permission through Cookie settings. This does not affect calculating, requesting quotes, booking or tracking and stops future optional measurement. Essential portal records remain separate.

Freight and market updates are separate from quote requests and accounts. Subscription requires separate permission and confirmation by email. You can unsubscribe using the link in the email. Brevo supports subscription and delivery.

Who receives information?

Information is available to staff who need it for their work and to service providers for hosting, authentication, storage, email and administration. The website and portal use Vercel and Supabase; Resend and Exact may be used for operational email and administration.

For your shipment, we share necessary details with relevant carriers, airlines, forwarders, customs representatives, delivery partners and competent authorities. Recipients depend on your order and route.

International transport may require sharing information with parties outside the European Economic Area. Technical service providers may also involve international processing. Contact us for details of recipients, countries and applicable safeguards for your particular order.

How long do we keep information?

Separate portal events, both essential records and optional usage measurements, are cleaned up daily once they are older than 90 days. The underlying requests, bookings, documents and any separate security or dossier audit logs have their own purposes and retention periods; this cleanup does not delete those records.

Retention depends on purpose: enquiries for handling and any follow-up; account information while needed for the account and customer relationship; shipment, customs and financial records for performance, statutory retention duties and dispute handling. Withdrawing consent stops future optional usage measurement but does not automatically delete earlier records. You can submit a request for this.

Cookie and browser storage lifetimes are described in our cookie policy. Clearing browser storage does not delete your account, bookings or administrative records from our systems.

Your rights and choices

You can request access, correction, erasure, restriction or, where applicable, portability of your personal data. You can also object to processing based on legitimate interests. Where you gave consent, you can withdraw it for future processing without affecting the lawfulness of earlier processing.

Send your request to jonathan.quik@qfreight.nl. We may ask for information to verify your identity. Some information must be retained for legal obligations or an ongoing order. You can also complain to the Dutch Data Protection Authority at autoriteitpersoonsgegevens.nl.

Calculator results depend on shipment inputs and available rates. An indication or quote request is not itself a confirmed booking. Contact us if you would like an explanation or review of a calculation.
